Position Overview:

The Executive Director, Operations and Systems, will play a key role in building the capacity and infrastructure needed for scale by leading an operations team that designs and updates the foundational systems, procedures, and tools that the larger Tutoring team uses to deliver tutoring services. The Operations and Systems team currently includes eight individuals (a combination of full-time and part-time) who implement many of these systems and procedures, and the Executive Director, Operations and Systems, will lead this team to ensure exceptional and efficient operational delivery. In sum, the Executive Director, Operations and Systems ensures that tutoring operations result in an exceptional customer and student experience and a better experience for internal teams and tutors – and that operational systems and processes match current and potential scale.

The successful candidate will be a self-motivated, strategic-thinking education leader who uses data to make decisions and ensures outstanding support to team members they lead. They will combine a capacity for strategic, systems-level thinking; experience scaling and iterating on processes and systems; evidence of successful team leadership and capacity-building; excellent communication skills; experience delivering exceptional operational experiences for customers and internal teams; and experience forecasting and managing against multi-million dollar budgets.

The Executive Director, Operations and Systems, reports to the Vice President, Tutoring, and works closely and collaboratively with the Tutoring team’s Talent, Growth & Strategic Initiatives, and Regional Leadership functions. The Executive Director, Operations and Systems, is a senior role in the Tutoring department, with responsibilities that enable the department’s continued growth, impact, and profitability.

Responsibilities of the Executive Director, Operations and Systems:

  • Analyzes and makes improvements to key operational systems and procedures
    • Analyzes tutoring operations, identifying systems or procedures that could be improved in order to achieve greater efficiency or efficacy at scale
    • Identifies systems or procedures that could be standardized in order to achieve greater efficiency or efficacy at scale
    • Leads the process of improving or standardizing tutoring operations systems and procedures
      • Solicits information and feedback from team members
      • Develops new or updated systems and procedures
      • Collaborates with Amplify Business Systems and Amplify Tutoring Product teams to define requirements, select vendors, and implement new systems
      • Manages the transition to new systems or procedures, working closely with the Tutoring Talent and Regional teams to ensure that trainings and process documentation are updated and delivered
    • Example processes include: tutor scheduling; tutor workforce data management; tutor substitution processes; tutoring platform setup; attendance tracking; etc.
  • Leads a team to implement key operational systems and procedures
    • Leads a team that oversees virtual tutoring platform setup for team members and provides ongoing support for the use of these platforms
    • Leads a team that manages immediate Tutor support needs and procedures, including routing, escalation, and resolution tracking
  • Oversees the department’s finance function
    • Ensures that the department’s financial analyses are timely, accurate, and useful
    • Oversees booking and budget projections
    • Manages revenue recognition processes in Salesforce
  • Leads a cycle of continuous improvement
    • Establishes and leads a cycle of continuous improvement that enables the Tutoring team’s leadership to identify opportunities for growth and improvement
    • Organizes and analyzes information and data to fuel the cycle of continuous improvement
    • Leads and aligns on priorities with a Manager of Data & Analytics to ensure customers and internal teams have needed access to data to drive strong implementations
    • Collaborate with the VP, Tutoring and Tutoring leadership team on program and operations innovations to drive scalability and reduce costs

Basic Qualifications of the Executive Director, Operations and Systems:

  • At least 10 years of experience leading and continuously improving complex operations, ideally delivering education services to states or district school systems
  • Team management experience, including at least 10 years of experience leading and growing high-performing teams in a fast-paced (ideally virtual) work environment
  • Prior experience, enthusiasm, and comfort within fast-paced, entrepreneurial company culture
  • Experience leading the launch, implementation, or expansion of tutoring services or other education services
  • Experience managing, synthesizing, and reporting on data
  • Project management experience, including the ability to independently plan for and manage complex projects from start to finish
  • Strong organization and attention to detail
  • Experience leading cross-functional teams to deliver on key priorities and initiatives
  • Experience overseeing multi-million dollar budgets
  • Excellent verbal and written communication and interpersonal skills, including experience developing written materials for an executive audience
  • Bachelor’s Degree or related experience or equivalent experience

Preferred Qualifications of the Executive Director, Operations and Systems:

  • Prior experience managing and scaling full-service tutoring operations
  • Experience leading large teams of 50+ people
  • Evidence of successful startup leadership
  • Prior experience managing operations to enable thousands of staff members
  • Fluency with Salesforce
  • Prior experience identifying the need for, selecting, and rolling out new business systems needed to scale
  • Prior experience with workforce management systems
  • Systems thinker with the ability to consider multiple scenarios and priorities

What we offer:

Salary is only one component of the Amplify Total Rewards package, which includes a lucrative 401(k) plan, incentive stock options, competitive health insurance and mental health options, basic life insurance, paid time off, parental leave, and access to best-in-class development programs. The gross salary range for this role is $136,000 – $165,000. This role is eligible to receive an annual discretionary bonus that rewards individual and company performance.
