The Administrative Assistant will provide direct support to UC Online, Department of General Studies, Prior Learning, Certifications, and other education initiatives through the supervision of the Director of UC Online. She/he will perform a broad range of duties to meet a variety of program needs and to meet the customer service needs of students and faculty of UC. This position contributes to the fulfillment of the mission of the University in offering quality academic programs with Christian values to students of all backgrounds.

The successful candidate will have will have problem-solving, organizational, and computer skills, which will be necessary to serve and support the demands of the position.

We are looking for an individual who is efficient and comfortable working within data and reporting. The ability to multi-task, while maintaining complex schedules, a variety of programs, and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, and extremely organized. Assuring a steady completion of workload in a timely manner is key to success in this position. Moreover, this position contributes to the fulfillment of the mission of the University in offering quality academic programs with Christian values to students of all backgrounds.

Responsibilities

  • Answers the main phone line and connects students and office guests with appropriate personnel.
  • Manage workflow by ensuring that deadlines are met and work is completed correctly.
  • Implement and monitor programs as directed by management and see the programs through to completion.
  • Ability to work collaboratively as part of a team, and to interact effectively with colleagues, administrators, faculty members and students, as well as external constituencies.
  • Familiarity with the needs of students and a diverse student population.
  • Assist with the onboarding process for new faculty and staff.
  • Assist in maintaining assessment records.
  • Monitors and updates the academic schedule using various tools and reports.
  • Regularly communicates with offices of Student Success, Registrar, Academic Affairs, Instructional Design, Prior Learning, Chairs and Faculty, and Enrollment Management.
  • Maintains accurate spreadsheets for reporting purposes on various projects and initiatives.
  • Collects data from various internal sources and/or external contacts, analyzes information, and compiles complex reports for various everyday tasks and projects.
  • Function as a liaison among administration, students, faculty, staff, and the University in a customer-focused, quality-conscious work environment.
  • In addition to regular business processes, this position handles highly sensitive and confidential information related to students, faculty, and staff.
  • Serves as a resource referral for individuals seeking assistance.
  • Interacts with students, parents, faculty, staff, and administration to assist in resolving student-related issues and concerns.
  • Keeps Department Deans and Chairs apprised of appropriate information.
  • Other duties as assigned.

Job Requirements:

Minimum requirements for this position:

  • Level of education attained: Undergraduate Degree.
  • Must possess good people skills and the ability to communicate productively.
  • Excellent written and oral communication skills.
  • Experience working with programs such as Canva, Smartsheet, Microsoft Excel, and Microsoft Forms is preferred.
  • Experience working in a remote setting/with a remote team.
  • Must show initiative, resourcefulness, dependability, and an ability to take action.
  • Must have a history of customer service experience; within higher education is preferred.
  • Ability to work a flexible schedule.
  • Understanding of online education is preferred.
  • Work days/times are based on student needs and requirements of Director, ensuring availability for students worldwide.
